This Privacy Notice does not apply to third-party websites, software, or services—even if linked from our platform. You should review those third parties' privacy policies independently.

Why We Collect Information

Signus helps users create, manage, and verify digital agreements. This often includes recording relevant details that demonstrate the validity of those agreements—such as the names of participating individuals, their devices, IP addresses, and the time and manner in which they signed or interacted with a document.

You can choose whether to use the Signus platform and whether to share personal information with us. However, some features of our Services may not function without certain information. For example, you won't be able to sign documents electronically without providing your name and signature.

  • Create or log in to a Signus account

  • Initiate, review, or sign a contract

  • Complete or update your user profile

You may also provide personal information about others, such as when you:

  • Request someone's signature or add them to a shared workspace

1.4. Information We Process on Behalf of Customers

When Signus customers upload documents or send contracts for signature, we act as a service provider (data processor) and process that information only on their behalf, according to their instructions.

In these cases, the customer remains the data controller, and is responsible for managing the content of the documents and any rights requests related to that data. If you have questions about a document you were asked to sign, please contact the party who sent it to you.

If we receive a data rights request for information where Signus acts only as a processor, we will redirect your request to the relevant customer.

2. Use of Personal Information and Legal Basis for Processing

We use the personal information we collect to operate, improve, and secure the Signus platform; to develop new features and offerings; and to communicate with you about our products and services.

In some jurisdictions, applicable data protection laws (such as the GDPR) require us to identify a legal basis for processing your personal information. Where Signus acts as a data controller, the lawful basis for our use of your personal data will depend on the type of information involved and the specific context in which it is used.

In general, Signus processes your personal information on one or more of the following grounds:

  • To perform a contract with you or provide services at your request

  • To fulfill a legitimate interest, such as securing our platform or improving user experience, where such interest is not overridden by your rights

Where Signus acts as a data processor—for example, when a customer uploads a contract and sends it for signature—our customer determines the legal basis for processing that data. In such cases, questions about the applicable legal basis should be directed to the customer organization, not Signus.

2.1 How We Use Personal Information and Why

2.1.1 Account Management
We use your contact details and account information to create and manage your Signus account, provide you with access to our platform, communicate essential information, and collect payment for your subscription. This processing is necessary to fulfill our contract with you or, in some cases, to support our legitimate interests in delivering and improving our Services.

When you send, sign, or manage agreements using Signus, we process metadata such as your IP address, device type, timestamps, and user actions. This helps maintain an audit trail, confirm document authenticity, and support contractual obligations. Processing may be based on contract, legitimate interest, or legal compliance.

2.1.3 Digital Signatures
Where relevant, we process your electronic signature and related data to enable secure execution of digital agreements. In some cases, we retain this information to comply with applicable regulations or industry standards. This processing is based on contract or legal obligation.

2.1.4 Security Monitoring
To safeguard the integrity of our platform, we collect technical and usage data such as login patterns, IP logs, error messages, and device information. This is processed under our legitimate interest in preventing fraud, enforcing access controls, and maintaining platform security.

2.1.5 Support & Feedback
If you reach out for support, participate in a survey, or provide product feedback, we process your communications and relevant account information to respond, improve our Services, or resolve issues. This is done under our legitimate interest in maintaining high-quality support and customer satisfaction.

2.1.6 Fraud Prevention
We monitor platform usage to identify signs of abuse, fraud, or violations of our terms. This may involve analyzing behavioral data, transaction history, and reported incidents. Processing is based on contract, legal obligation, or our legitimate interest in protecting our users and infrastructure.

In some cases, this may include training AI models using de-identified customer interactions, with consent where legally required. Our legal basis is typically legitimate interest or consent.

If you sign up with an email address affiliated with an organization that uses Signus (e.g., yourname@company.com), that organization may have administrative control over your account. This may include the ability to manage your role, view activity logs, or reassign access rights.

Where deletion or full anonymization is not immediately possible due to technical limitations, we apply appropriate safeguards to prevent unauthorized access or use and limit the data's availability within our systems.

5. Your Choices

You have several options for controlling how your personal information is collected, used, and shared on the Signus platform.

5.1 Profile Information
Completing a user profile is optional. If you choose to create one, you may access, update, or remove your information at any time via your account settings. Optional fields can be cleared if you no longer wish to share them.

5.2 Marketing Preferences
You can unsubscribe from marketing emails at any time by clicking the link provided in any promotional message or by adjusting your settings in your account. We will continue to send essential communications—such as signing notifications, billing notices, and security alerts—regardless of your marketing preferences.

To opt out of telemarketing calls, you may notify us during a call or submit a request by email using the contact details provided in Section 11. Please include your full name, organization, and phone number in your message.

5.3 Cookies and Tracking Technologies
You can control how cookies are used on your browser by changing your cookie preferences or visiting our Cookie Policy. If you disable cookies, some functionality of the Signus platform may be limited. We do not currently respond to browser-based "Do Not Track" signals.

5.4 Device Location Settings
You can choose not to share your device's location by adjusting the location settings on your browser or mobile device. Some features that rely on location data may become unavailable if this is disabled.

5.5 Account Closure
To close your Signus account, you may do so through your dashboard or by reaching out to our support team. Upon closure, we will retain only the information necessary to meet our legal obligations or protect against fraudulent activity, in accordance with our data retention policies.

6.1 Overview of Your Rights
