Privacy notice
Purpose
At Signus, your privacy is important to us. This Privacy Notice describes how Signus Solutions Inc., Signus Technologies Inc., and our affiliates ("Signus," "we," "us," or "our") collect, use, store, and otherwise process personal information about individuals ("you") who interact with our websites, services, or platform (collectively, the "Services").
This Notice applies to your use of:
-
Our website at signus.ai
-
The Signus web platform, including our contract management and e-signature services
-
Any other Signus service or interface that links to this Privacy Notice
By using our Services, you agree to the practices described in this Privacy Notice.
In some cases, we may process your personal information at the request of, or under an agreement with, a business or organizational customer. In those instances, that organization—not Signus—acts as the data controller and is primarily responsible for how your information is handled. If your interaction with Signus is through such an organization (e.g., your employer or service provider), please contact them directly regarding how your data is used.
This Privacy Notice does not apply to third-party websites, software, or services—even if linked from our platform. You should review those third parties' privacy policies independently.
Why We Collect Information
Signus helps users create, manage, and verify digital agreements. This often includes recording relevant details that demonstrate the validity of those agreements—such as the names of participating individuals, their devices, IP addresses, and the time and manner in which they signed or interacted with a document.
We encourage you to read this Privacy Notice in full to understand how we handle your personal information and what rights you may have. If you prefer to skip ahead, you can use the table of contents below.
1. Collection of Personal Information
You can choose whether to use the Signus platform and whether to share personal information with us. However, some features of our Services may not function without certain information. For example, you won't be able to sign documents electronically without providing your name and signature.
For more on your choices, see Sections 5 and 6 of this Notice.
1.1. Information You Provide to Us
We collect personal information directly from you when you:
-
Create or log in to a Signus account
-
Initiate, review, or sign a contract
-
Complete or update your user profile
-
Contact customer support or provide feedback
-
Participate in a survey, webinar, or other promotional event
-
Subscribe to newsletters or other updates
-
Leave comments or interact with community features (if available)
You may also provide personal information about others, such as when you:
-
Request someone's signature or add them to a shared workspace
-
Refer a colleague or invite team members to your account
-
Upload documents that contain personal details of other individuals
You may opt out of providing certain types of information, such as uploading a profile photo or leaving a comment.
Examples of the types of personal information you may provide include:
-
Identifiers & Contact Information: Name, email address, phone number, mailing address, or digital signature
-
Billing Information: Payment details, billing address, and records of transactions
-
Login & Account Data: Email, password, and preferences related to your profile
-
Communication & Support History: Messages sent through forms, email threads, feedback surveys, or chat transcripts
-
Authorized Contact Info: If you grant access, we may store names and emails of collaborators or invited users
1.2. Information We Collect Automatically
When you use Signus, we automatically collect certain information about your device and how you interact with the platform, including when you browse our website without logging in.
This may include:
-
Device Data: IP address, device identifiers, browser type, and operating system
-
Usage Data: Actions you take on the platform, including pages visited, session times, referring URLs, and interaction patterns
-
Transaction Metadata: Timestamps, authentication logs, IP addresses of signers, and records of activity related to contract execution
-
Marketing Data: Your communication preferences, product interest inferred from activity, and engagement with marketing emails or ads
Some of this data is collected using cookies or similar technologies (e.g., pixels, local storage). For more information, see our Cookie Policy.
1.3. Information We Receive from Others
We may receive personal information about you from third-party sources, including:
-
Customers of Signus: For example, someone may provide your name and email address to request your signature
-
Business Partners or Referrers: If you sign up via a partner or affiliate
-
Third-Party Services: If you integrate a third-party tool with your Signus account (e.g., cloud storage or CRM software)
We may combine this information with data we've collected directly from you to improve functionality and personalization.
1.4. Information We Process on Behalf of Customers
When Signus customers upload documents or send contracts for signature, we act as a service provider (data processor) and process that information only on their behalf, according to their instructions.
In these cases, the customer remains the data controller, and is responsible for managing the content of the documents and any rights requests related to that data. If you have questions about a document you were asked to sign, please contact the party who sent it to you.
If we receive a data rights request for information where Signus acts only as a processor, we will redirect your request to the relevant customer.
2. Use of Personal Information and Legal Basis for Processing
We use the personal information we collect to operate, improve, and secure the Signus platform; to develop new features and offerings; and to communicate with you about our products and services.
In some jurisdictions, applicable data protection laws (such as the GDPR) require us to identify a legal basis for processing your personal information. Where Signus acts as a data controller, the lawful basis for our use of your personal data will depend on the type of information involved and the specific context in which it is used.
In general, Signus processes your personal information on one or more of the following grounds:
-
To perform a contract with you or provide services at your request
-
To fulfill a legitimate interest, such as securing our platform or improving user experience, where such interest is not overridden by your rights
-
To comply with legal obligations, such as tax, recordkeeping, or fraud prevention requirements
-
To protect vital interests, in rare cases involving safety or emergency circumstances
-
With your consent, where required by law or where we explicitly ask for it outside of a contractual context
If we process sensitive personal information, we ensure that a separate legal justification for that processing also applies, consistent with applicable regulations.
Where Signus acts as a data processor—for example, when a customer uploads a contract and sends it for signature—our customer determines the legal basis for processing that data. In such cases, questions about the applicable legal basis should be directed to the customer organization, not Signus.
2.1 How We Use Personal Information and Why
2.1.1 Account Management
We use your contact details and account information to create and manage
your Signus account, provide you with access to our platform,
communicate essential information, and collect payment for your
subscription. This processing is necessary to fulfill our contract with
you or, in some cases, to support our legitimate interests in delivering
and improving our Services.
2.1.2 Transaction Records
When you send, sign, or manage agreements using Signus, we process
metadata such as your IP address, device type, timestamps, and user
actions. This helps maintain an audit trail, confirm document
authenticity, and support contractual obligations. Processing may be
based on contract, legitimate interest, or legal compliance.
2.1.3 Digital Signatures
Where relevant, we process your electronic signature and related data to
enable secure execution of digital agreements. In some cases, we retain
this information to comply with applicable regulations or industry
standards. This processing is based on contract or legal obligation.
2.1.4 Security Monitoring
To safeguard the integrity of our platform, we collect technical and
usage data such as login patterns, IP logs, error messages, and device
information. This is processed under our legitimate interest in
preventing fraud, enforcing access controls, and maintaining platform
security.
2.1.5 Support & Feedback
If you reach out for support, participate in a survey, or provide
product feedback, we process your communications and relevant account
information to respond, improve our Services, or resolve issues. This is
done under our legitimate interest in maintaining high-quality support
and customer satisfaction.
2.1.6 Fraud Prevention
We monitor platform usage to identify signs of abuse, fraud, or
violations of our terms. This may involve analyzing behavioral data,
transaction history, and reported incidents. Processing is based on
contract, legal obligation, or our legitimate interest in protecting our
users and infrastructure.
2.1.7 Product Improvement
We analyze anonymized or aggregated usage data to refine features,
optimize workflows, and develop new capabilities. In some cases, this
may include training AI models using de-identified customer
interactions, with consent where legally required. Our legal basis is
typically legitimate interest or consent.
2.1.8 Marketing Communications
We may use your contact information and product usage insights to send
you updates, offers, or invitations related to Signus. Where required by
law, we seek your prior consent. You can opt out of marketing
communications at any time via the unsubscribe link or your account
settings.
2.1.9 Legal Compliance
We process personal data as necessary to comply with applicable laws,
enforce our terms, respond to legal claims or lawful requests, or defend
our legal rights. This includes keeping appropriate business records and
cooperating with authorized authorities. Legal bases include legal
obligation and legitimate interest.
3. Disclosures of Personal Information
We may disclose your personal information to support the delivery of Signus services, operate our business, or meet legal obligations. These disclosures are made in accordance with applicable law, including consent where required.
3.1 Service Providers
We share personal information with carefully vetted third-party vendors
who support our core operations. This includes infrastructure providers,
analytics platforms, fraud detection tools, authentication systems,
billing platforms, and customer support services. Each provider is bound
by a contract requiring them to protect your data and use it solely to
provide services on our behalf.
3.2 Affiliates
We may share your personal information with affiliated companies under
common ownership with Signus. These entities may use your data only as
described in this Privacy Notice and for purposes that align with those
for which the data was originally collected.
3.3 Marketing Partners
If you register for an event, webinar, or campaign co-hosted with
another organization, we may share your name and contact information
with that partner. Their use of your data will be limited to
event-related communications or follow-up, subject to their own privacy
terms.
3.4 Advertising Technologies
On our public marketing site (e.g., signus.ai), we
may use third-party advertising and analytics partners to serve
personalized content and measure campaign effectiveness. These partners
may collect data using cookies or similar technologies. We do not allow
advertising access to documents or data stored inside the Signus
product.
3.5 Legal Compliance and Safety
We may disclose your personal information to government agencies, law
enforcement, or authorized third parties when required to comply with a
legal obligation, such as a subpoena or court order. We may also
disclose information to protect health and safety, enforce our terms of
service, or defend the rights of Signus, our users, or others.
3.6 Corporate Transactions
If Signus undergoes a business transition such as a merger, acquisition,
financing, reorganization, or sale of assets, your personal information
may be transferred as part of that transaction. We will provide notice
and choices where legally required if your data becomes subject to a new
privacy policy.
3.7 With Your Consent
In some cases, we may disclose your information when you have explicitly
asked us to. For instance, if you provide a testimonial or public case
study quote, we may publish your name and affiliation with your
permission.
3.8 With Other Users
When you send, review, or collaborate on documents within Signus, we may
share relevant data with other participants in the transaction. This may
include names, email addresses, document activity logs, and IP-based
metadata used for audit purposes.
3.9 Payment Providers
If you process or receive payments through Signus, your billing details
may be shared with our payment processing partners. We only transmit the
data necessary to complete the transaction and do not store full credit
card or financial account information on our own systems.
3.10 Public and Shared Content
If you post a comment on our blog or participate in community
discussions, your message and associated name may be visible to others.
We recommend you avoid posting sensitive or private information in
public forums.
3.11 Profile Visibility
If you create a user profile, your name, photo (if provided), and
limited details may be visible to others within your organization or
shared workspace. You can control what is shown in your profile
settings.
3.12 Organizational Control
If you sign up with an email address affiliated with an organization
that uses Signus (e.g., yourname@company.com), that organization may
have administrative control over your account. This may include the
ability to manage your role, view activity logs, or reassign access
rights.
4. Retention of Personal Information
We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including to provide the Services, comply with legal obligations, enforce our terms, or resolve disputes.
The specific retention period depends on the nature of the data and the context in which it is used. In general, this includes retaining data to fulfill contractual obligations, meet audit or compliance requirements, and support legitimate business operations.
Where deletion or full anonymization is not immediately possible due to technical limitations, we apply appropriate safeguards to prevent unauthorized access or use and limit the data's availability within our systems.
For more information, you may contact us using the details provided in Section 11 of this Notice.
5. Your Choices
You have several options for controlling how your personal information is collected, used, and shared on the Signus platform.
5.1 Profile Information
Completing a user profile is optional. If you choose to create one, you
may access, update, or remove your information at any time via your
account settings. Optional fields can be cleared if you no longer wish
to share them.
5.2 Marketing Preferences
You can unsubscribe from marketing emails at any time by clicking the
link provided in any promotional message or by adjusting your settings
in your account. We will continue to send essential
communications—such as signing notifications, billing notices, and
security alerts—regardless of your marketing preferences.
To opt out of telemarketing calls, you may notify us during a call or submit a request by email using the contact details provided in Section 11. Please include your full name, organization, and phone number in your message.
5.3 Cookies and Tracking Technologies
You can control how cookies are used on your browser by changing your
cookie preferences or visiting our Cookie Policy. If you disable
cookies, some functionality of the Signus platform may be limited. We do
not currently respond to browser-based "Do Not Track" signals.
5.4 Device Location Settings
You can choose not to share your device's location by adjusting the
location settings on your browser or mobile device. Some features that
rely on location data may become unavailable if this is disabled.
5.5 Account Closure
To close your Signus account, you may do so through your dashboard or by
reaching out to our support team. Upon closure, we will retain only the
information necessary to meet our legal obligations or protect against
fraudulent activity, in accordance with our data retention policies.
5.6 Concerns or Complaints
If you have concerns about how your personal information is being
handled, please contact us using the details provided in Section 11. We
are committed to investigating and addressing privacy-related complaints
promptly and transparently.
6. Your Privacy Rights and Choices
6.1 Overview of Your Rights
Depending on your jurisdiction, you may have certain rights under local
data protection laws. These may include the right to:
-
Access the personal information we hold about you
-
Understand how it's collected, used, shared, and retained
-
Correct inaccurate or outdated information
-
Request deletion or restrict our use of your information
-
Object to certain types of processing
-
Receive a portable copy of your data
-
Withdraw consent where it is the basis for processing
-

To exercise any of these rights, please contact us using the instructions in Section 11. We may need to verify your identity before fulfilling your request.
6.2 Identity Verification
To protect your personal information, we require identity verification
for any rights-based request. If you have a Signus account, you may
verify via login. If not, we may request additional details (such as
your name and email address). You may also authorize an agent to act on
your behalf—we'll need documentation confirming that authorization.
Note that some personal data may be exempt from such requests under applicable law or may be necessary for us to continue providing you with our Services.
6.3 Appeals
If we deny your request and local law allows, you may appeal our
decision. Instructions for appealing will be provided in our response to
your original request.
6.4 Opting Out of Targeted Advertising and "Sales"
In some locations, you have the right to opt out of:
-
The "sale" of your personal information
-
The use of your data for targeted advertising
While Signus does not "sell" personal data in the conventional sense, we may share certain identifiers with marketing partners to improve and personalize your experience. To opt out of such activity, use the "Your Privacy Choices" link in our website footer or manage your cookie settings. We also honor browser-based opt-out signals in jurisdictions where that is required by law.
Signus does not knowingly sell the personal information of individuals under the age of 16 without proper consent.
6.5 International Data Transfers
If you access Signus from outside the U.S., your personal information
may be transferred to and processed in countries with different data
protection laws, including the United States.
Where legally required, we rely on approved mechanisms—such as Standard Contractual Clauses or equivalent safeguards—to ensure your information remains protected during these transfers.
7. Children's Privacy
Signus Services are intended for use by adults and are not directed to individuals under the age of 18 (or any other minimum age defined by applicable law). We do not knowingly collect personal information from minors, nor do we permit them to use our platform.
If you are under the applicable age threshold, please do not use the Services or provide any personal information to us. If we become aware that we have collected personal information from a minor without verified parental consent, we will delete it promptly.
If you believe a minor has submitted information to Signus in violation of this policy, please contact us using the details provided in , and we will investigate and take appropriate action.
8. For California Residents
If you're a resident of California, you have specific rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA). This section explains how Signus collects, uses, and shares personal information in compliance with California law. If you're not a California resident, this section does not apply to you.
8.1 What We Collect, Why, and Who We Share It With
This section summarizes the categories of personal information we've collected over the past 12 months, the reasons for collecting it, and the categories of third parties to whom it may be disclosed or "sold/shared" under California law.
8.1.1 Identifiers
We collect personal identifiers such as your name, email address,
mailing address, phone number, electronic signature, and device
identifiers. These are used to operate your Signus account, communicate
with you, process payments, personalize content and ads, prevent fraud,
and fulfill legal obligations. We may share this data with service
providers, payment processors, affiliates, legal and regulatory bodies,
or other parties in connection with a business transaction. Select
identifiers may also be shared with advertising partners for promotional
purposes.
8.1.2 Commercial Information
This includes your billing details, payment method, and transaction
history. We use this information to complete transactions, manage
billing, detect fraud, and comply with financial regulations. It may be
shared with service providers, payment processors, affiliates, and legal
authorities, but is not sold or shared for advertising purposes.
8.1.3 Customer Service Information
This includes any communication you initiate with us, such as emails,
contact forms, surveys, and support interactions. We use this
information to answer your questions, troubleshoot issues, improve
service quality, and maintain records. This may be shared with service
providers, affiliates, or regulators as needed. It is not used for
targeted advertising.
8.1.4 Network Activity and Usage Data
We collect technical data like IP addresses, browser types, cookie
identifiers, and logs of how you interact with the platform. This helps
us secure the system, understand usage, personalize experiences, detect
fraud, and deliver targeted content. We may share this data with service
providers, affiliates, regulators, and advertising partners to support
these activities.
8.1.5 Geolocation Data
We may collect your location based on your IP address or, if enabled,
through device GPS. We use this data to support security, analytics,
regional customization, and service functionality. It may be disclosed
to service providers, legal authorities, affiliates, and advertising
partners for permitted use cases, such as geotargeted messaging.
8.1.6 Information About Others
If you provide information about others (e.g., when sending a document
for signing, referring a user, or inviting collaborators), we use it to
support the requested action and ensure proper documentation. We share
this information only with service providers, legal authorities, or with
consent. It is not sold or shared for marketing.
8.1.7 Inferences
We may draw insights from your interactions with the platform, such as
inferred interests, usage trends, or feature preferences. These are used
to personalize experiences, refine features, and enhance marketing
strategies. Inferences may be shared with service providers, affiliates,
or advertising partners, but only in conjunction with the underlying
supporting data.
8.1.8 Sensitive Personal Information
This includes credentials like usernames and passwords, and payment or
financial account numbers. We use this data only to manage account
access, process payments securely, and meet regulatory requirements. It
may be shared with payment processors, legal authorities, and select
service providers. This information is never sold or used for
advertising.
A. Opting Out of Data Sharing for Advertising Purposes
As a California resident, you have the right to opt out of what the CCPA defines as the "sale" or "sharing" of your personal information — especially when it comes to data used for targeted advertising across websites and apps.
At Signus, we may allow certain third-party technologies (like ad networks, analytics providers, or retargeting platforms) to use cookies or similar tools on our marketing websites to help deliver ads that are more relevant to you. This type of data exchange may be considered a "sale" or "sharing" under California law, even though no money changes hands directly.
Important: We do not knowingly sell the personal information of anyone under 16 years of age without the legally required affirmative consent.
If you'd like to opt out of this kind of data use:
-
Click the "Your Privacy Choices" link in the footer of our website.
-
You can also enable a recognized browser-based opt-out preference signal, which we honor where legally required.
These tools help limit the use of your personal information for advertising that follows you across platforms and contexts.
B. Your Rights Under the CCPA
If you're a California resident, the CCPA gives you specific rights related to the personal information we collect and handle. At Signus, we recognize and respect those rights. You may request that we do the following:
1. Disclose Information We've Collected
You can ask us to provide details about the personal information we've collected, used, or disclosed about you in the past 12 months. This includes:
-
The categories of personal information collected
-
The sources of that information
-
Our business or commercial purpose for collecting or sharing it
-
The categories of third parties we've shared it with
2. Provide Access or a Copy
You have the right to request a copy of the specific personal information we hold about you.
3. Delete Certain Personal Information
You may request that we delete personal information we have collected, subject to applicable legal exceptions.
4. Correct Inaccurate Information
If you believe any of your personal information is inaccurate, you may ask us to correct it.
5. Receive Information About Financial Incentives
If we offer programs that involve price differences or benefits based on your data (such as referral bonuses), you have the right to receive details about those incentives.
6. Non-Discrimination
Exercising your privacy rights will not result in us treating you differently. We won't deny you services, charge different prices, or reduce the quality of service based on your decision to exercise CCPA rights.
How to Submit a Request
You can submit a request to access, delete, or correct your personal information in one of the following ways:
-
Through the Signus Privacy Request Portal (URL to be updated before publication)
-
By mail, as outlined in
To protect your privacy and prevent fraud, we'll need to verify your identity before processing any request. If you have an account with us, you may be asked to log in to confirm your identity. If not, we may ask for identifying details such as your name, email address, or phone number.
If we cannot verify your identity, or if we're legally exempt from fulfilling your request, we will let you know and explain the reason for the denial. Some personal information is necessary to provide our Services, and deleting it may limit your access or functionality.
C. Authorized Agents
If you are a California resident, you may designate an authorized agent to submit a privacy rights request on your behalf. To protect your information, Signus will require verification of both:
-
Your identity as the individual making the request, and
-
The authority of your agent to act on your behalf
We may request a signed authorization form or a copy of a valid power of attorney, depending on the nature of the request.
D. Requesting Marketing Disclosure Information
California residents may request a summary of how Signus disclosed their personal information to third parties for direct marketing purposes during the previous calendar year. This includes the types of personal information involved and the third parties it was shared with.
To request this summary, please submit your inquiry through the Data Privacy Request Form.
9. Safeguarding Your Personal Information
At Signus, we take data protection seriously. We maintain administrative, technical, and physical safeguards designed to secure your personal information against accidental loss and unauthorized access, disclosure, alteration, or misuse. Our security measures include an internal Information Security Management System (ISMS) and supporting protocols that guide how we handle and protect sensitive data. Access to personal information is limited to team members who need it to perform their duties, and only under confidentiality obligations.
10. Updates to This Notice
This Privacy Notice may be updated from time to time to reflect legal changes, business developments, or improvements in how we operate. If we make material updates, we will indicate so by updating the "Last Updated" date and may provide additional notice depending on the nature of the changes. Your continued use of Signus Services after such updates constitutes your agreement to the revised terms.
